How To: Build a Less Stressful Family Calendar

Back-to-school season has arrived, and even if your kids haven’t started yet, their first day will be here soon. While we want to enjoy every bit of summer fun, the new school year has a way of sneaking up on us, leading to last-minute scrambling and chaos. But you don’t have to panic if you start getting organized for the year ahead now.

Here’s how to map out a stress-free school year so you can reclaim your peace of mind:

  • Add these important dates to your calendar now - Instead of adding dates to your calendar month-by-month, get it done for the entire school year so you know what’s coming up. Start with the non-negotiables - school holidays, early release days, teacher work days, testing windows, school performances and events. If you know when school spirit weeks and fundraiser deadlines are, go ahead and add those, too, so they don’t catch you off guard later.
  • Put together your extracurricular puzzle - After the school dates are on the calendar, look at after-school activities and see what you have the bandwidth to do, then create a schedule.
  • Include all the extras - Don’t just schedule soccer practice at 6 p.m., add reminders for everything that goes with it, like packing equipment, leaving the house, and bringing snacks.
  • Use visual hacks - Putting so much on the calendar can make it look like a chaotic mess, so try color-coding by person, not event, to give you an instant “visual dashboard.”
  • Consider having a digital and physical calendar - Shared digital calendars are great for syncing to our phones so changes and reminders update in real time, but having a large physical calendar hanging up at home lets everyone see what’s happening every day.
  • Schedule your non-obligations - Block off things that are important to your family, like family dinners, homework time, free play, and rest. Downtime deserves to be treated as a non-negotiable so you all have time to breathe and relax.
  • Master the 15-minute “Sunday Sync” - Getting everything on the calendar before the first day of school is great, but you have to keep it all straight throughout the year, too. That’s where a Sunday calendar “sync” helps. It’s a short check-in to review the upcoming school events, travel, appointments, birthdays and activities so you can see conflicts before they become problems. Get the kids involved so they can let you know if something got missed, has changed, or someone needs a ride, because someone always does!
